MENUS
To allow for proper planning by our Chef, we require a finalized menu one month before the event. We can provide a choice of three entrées with place cards,
which list entree selection; however, we will need the pre-determined counts 14 days before the event. Please keep in mind that the menus are merely suggestions.
We would be happy to custom design your wedding menus to suit your special needs. Consuming raw or under cooked meats, poultry, seafood, shellfish or egg
may increase your risk of foodborne illness, especially if you have certain medical conditions.
GUARANTEES & COUNTS
The Hampshire House requires a final guest count 14 business days in advance of the event. Later changes will result in surcharges and fees. Once final
confirmation has been made, the number of attendees may not be reduced. If a guarantee is not given at the appropriate time, the Hampshire House will assume
the indicated attendance discussed before hand to be correct, and charges will be made accordingly. Should the scheduled starting or closing times of the event be
delayed by more than one hour, without prior notification from the host/hostess, an overtime labor charge will be applied to your final bill. The Hampshire House
reserves the right to move an event to a different room, should an emergency or disaster occur to render the reserved room unusable.
WEDDING CAKE
The Hampshire House includes a single flavor wedding cake within all of our packages. This cake must be ordered for a minimum of 50 guests. If your guest count
is below 50 guests you will be charged an additional fee to bring you to the minimum requirement. If you would like to add a second flavor an additional fee will
apply. If you choose to bring in a wedding cake from another vendor a cake cutting fee will be charged.
FINANCIAL ARRANGEMENTS
A 50% deposit is required to reserve a private room. A reservation is valid for no more than 14 days without receipt of the deposit. The estimated balance is due ten
business days before the event. Payment should be made by personal check or credit card. There is a 15% labor charge, a 5% taxable administrative fee and a 7% State and Local tax.
FOOD & BEVERAGE MINIMUM
The food and beverage minimum is based on food and beverage items only. This minimum does not include charges for audio visual, entertainment, linens, room
rental, 7% State and Local tax, 15% service charge and 5% taxable administrative fee.
CANCELLATIONS
Events may be cancelled, with the approval of the Hampshire House, without any penalty to the client, up to 12 months in advance. Events cancelled less than 12
months in advance are subject to the loss of the initial deposit. Events cancelled less than 6 months out will forfeit 75% of the estimated value of the event. Events
cancelled less than 3 months out will forfeit 100% of the estimated value of the event. If an event of equal or greater value is scheduled, the Hampshire House will
issue a full refund.
ALCOHOL AND BEVERAGE SERVICE
The Hampshire House offers a wide range of superb choices in wine and beverage service. Both "cash" and "open" bar arrangements are available. All of our
servers have been trained in the responsible service of alcohol and will dispense alcoholic beverages in accordance with the guidelines provided in that training. The
Hampshire House reserves the right to control and monitor the consumption of alcoholic beverages and reserves the right to refuse service, if deemed necessary.
Bars will be limited to a maximum of 5 hours, unless other arrangements have been made.
SPECIAL SERVICES
The Hampshire House is happy to work with you on the special requirements of your event. We have extensive experience with many different suppliers in the
Boston area. Please consult with your wedding coordinator to arrange flowers, special occasion cakes, transportation, photographers, displays or audiovisual
equipment. We also offer a wide range of musical options, which include classical string groups, jazz trios, and disc jockey service. Our entertainment license is
for a maximum of 5 musicians. The Hampshire House does reserve the right to approve any entertainment in advance to protect the Hampshire House and the
comfort and privacy of groups in adjacent areas.
PARKING
Parking is available in the Boston Common Garage (approximately 1 block away on Charles Street). The Hampshire House also offers nightly valet parking.
VALET PARKING
Valet service is available for private events upon request. Valet parking charges can be hosted by the client or paid individually by the guests for $16 per car in the
evening and weekends or $26 per car for daytime events.
For hosted valet parking, a minimum guarantee of cars will be agreed upon by the client and the Hampshire House. The client will be charged for this minimum
guarantee or actual number of cars that utilize valet, whichever is greater. Valet staffing will be determined based on this guaranteed count; therefore, this count
should be as accurate as possible to avoid valet congestion and guest waiting.
For valet parking with individual payment, the guests will be charged individually for the valet service per car. The Hampshire House will provide the first valet
attendant at no cost to the client. One valet attendant can park 0-5 cars. Estimated counts on valet in excess of 5 cars will require additional attendants and
valet fees per additional attendant that will be charged to the client. Estimated number of cars provided by client should be as accurate as possible to avoid valet
congestion and guest waiting.

5-15 cars 2 valet attendants required.
Client is charged for one additional attendant. Guests are charged individually for valet.
16-25 cars 3 valet attendants required.
Client is charged for two additional attendants. Guests are charged individually for valet.
26-35 cars 4 valet attendants required.
Client is charged for three additional attendants. Guests are charged individually for valet.
35-45 cars 5 valet attendants required.
Client is charged for four additional attendants. Guests are charged individually for valet.
CONDUCT
The Hampshire House reserves the right to approve the type of functions held on our premises. We will not accept certain kinds of parties deemed inappropriate
for the facility, due to size or nature of the event. We are concerned for all of our clients and wish to ensure that no event becomes disruptive.
